Before
Every invoice for a partner took a manager eight to ten minutes: find the items, check this particular partner's discount, look at the stock, issue it, send it. The partner waited. In season, managers issued invoices instead of selling, and "the same as last time, please" meant digging out the previous order and re-typing it by hand.
What I built
- A partner portal on top of the accounting system: their own price list with discounts, stock, history and the state of the account.
- The partner issues the invoice and the delivery note themselves; the document appears in the accounting system immediately.
- "Repeat the order": prices are recalculated at today's exchange rates and discounts.
- From the same place, the e-documents and the waybill — which means shipping in a few clicks now starts with the partner.
After
Zero manager minutes on a routine document. The partner does it themselves, whenever it suits them. The manager sees everything the partners have done and steps in only for the non-standard cases.
What it gave
Managers sell instead of issuing invoices. There are no mistakes in discounts, because nobody types them by hand. And partners got what "a shop with wholesale prices" never gives them: their own terms and their documents in a minute.
For your company
What a partner sees and what they are allowed to do is your decision: the price list and stock only, or the whole chain through to the delivery note and the e-documents. Discounts, credit limits, payment terms and currency are taken from your accounting system instead of being defined again. The same portal works for your own shops ordering replenishment from a central warehouse.
